Are you a high level Administrator with experience of project management support?  Do you have a background in collating and interpreting information to support tender processes?  Would you like a new challenge working for a leading organisation?  If the answer is “yes”, we have an exciting and varied role as a Bids and Tender Support Assistant.


As the Bids and Tender Support Assistant, you will be responsible for assisting in the coordination of all tasks involved in tender processes. You will ensure that tender and bid submissions are well organised and delivered on time with documentation being highly presentable, fulfil the criteria required and consistent with our clients’ procedures.


As the Bids and Tender Support Assistant, you will also enjoy working as part of a team, able to take a structured approach to managing projects and be self-disciplined. Whilst coordinating the bid and tender response documents for our client, your duties will include :

  • Production of bid  response timetables, allowing for sufficient time for collation, proof and document delivery
  • Production of accurate templates and formats for the bid, tender and presentation responses according to instructions

Allocation of bid questions to the appropriate stakeholders and third parties, chasing stakeholders for their contributions, reallocation of questions where necessary and collation of bid and tender responses 

  • ensuring all required responses are given and supporting documentation is provided.
  • Ensure all bids are signed off in accordance with procedures prior to despatch
  • Organise bid despatch and delivery using couriers as necessary
  • Respond to general queries regarding bids and tender responses as required
  • Carrying out general administrative “housekeeping”, including archiving of responses and related correspondence


The successful applicant will have a strong administrative background and you will possess an excellent command of written English and have an extremely high level of attention to detail. Excellent organisational skills together with the ability to work well under pressure and to deadlines are key. A good level of IT literacy to include Microsoft Word, Excel and PowerPoint is also required.
